AI Tools for Event Planners and Wedding Planners

AI tools for event planners work best on the pieces guests see and clients approve: event flyers and signs, invitations, run-of-show drafts, vendor emails and a custom entrance song. They don't book venues, sell tickets or seat guests, so keep your registration platform for that. Before anything prints, check every name, date and address on the final file, not the draft.

AI tools for event planners save the most time on work that gets drafted, redrafted and signed off: the flyer, the invitation, the signs, the run-of-show and the thank-you email. They don't book venues, sell tickets or seat guests. Event print work also carries rules that change what goes into the prompt. A square invitation envelope pays extra postage, and the ADA National Network suggests an accommodation-request line on materials for events that take registrations. Wedding planners have their own section near the end.

Where AI tools for event planners fit

Here is where AI for event planning helps in a planner's week, and where it doesn't. Toybox AI costs shown are as of September 2026.

Planning job Tool Cost What to check
Event flyer, poster or welcome sign Flyer Maker 80 credits (1K) to 100 (4K) Date, time, address, accommodation line
Invitations and save-the-dates Flyer Maker, Tall size 90 credits at 2K Names, RSVP date, card and envelope shape
Run-of-show, vendor emails, timelines AI Writer 5 credits per draft Times match the venue contract
Entrance song or event theme song Music Generator (Pro plan) 95 credits for two versions Length, lyrics, where you'll post it
Recap video from your own footage Memories in Apple Photos Built into the Photos app on iPhone Music rights if you post it
Registration, ticketing, seating Your event platform Varies Not a job for creative AI tools

To compare the best AI tools for event planners, ask two questions of each one: how fast can you fix a wrong date, and does it need your guest list. None of the jobs above needs names or phone numbers from your attendee list.

Event flyers and signs with an accommodation line

An event flyer answers what, when, where and who's welcome, and the ADA National Network's planning guide for temporary events adds one more line. When an event offers communication services such as an interpreter or live captions on request, the guide says promotional and registration materials should give a contact and a reasonable deadline for asking. It also says promotions should name any aids that will already be provided. One sentence covers it: "Need an interpreter or another accommodation? Email events@example.com by Friday, October 30."

Flyer Maker works from the words you give it, so type the accommodation line into "Describe your flyer" with everything else:

Fall Networking Night hosted by the Birchwater Business Council. Thursday, November 12, 6 PM to 8:30 PM, Marlowgate Hall, 55 Canal Street. Free for members, $15 for guests, light dinner included. Register by Friday, November 6 at birchwater.example.com. Line near the bottom: "Need an interpreter or another accommodation? Email events@example.com by Friday, October 30. The hall is step-free with an elevator." Navy and warm gold, clean modern layout, the date and start time as the largest text after the event name.

For a welcome sign or an easel poster, choose the Tall size at 4K. That file is 2480 x 3312 pixels, the same 3:4 shape as an 18 x 24 inch poster, and it prints at that size at about 138 pixels per inch, so keep the lettering large and the words few. For wording by event type, from galas to open houses, see the event flyer ideas.

Invitations that mail without extra postage

Decide the card and envelope size before you design, because postage depends on shape. As of September 2026, one $0.82 Forever stamp mails a 1 ounce letter, each extra ounce is $0.29 up to 3.5 ounces, and USPS charges $0.49 more for nonmachinable letters. It also says square or vertical envelopes cost more. The mailing standards call a letter nonmachinable when its length divided by its height is below 1.3 or above 2.5, so a square envelope (a ratio of 1) always pays extra. A 5 x 7 card in a 7.25 x 5.25 inch envelope works out to 1.38, inside the range, as long as it bends, isn't lumpy and is no more than 1/4 inch thick.

The Tall size fits that card. At 2K it's 1536 x 2048 pixels: trim roughly 1/4 inch from the width and a 5 x 7 card comes out at about 290 PPI. A description for a company holiday party:

Invitation to the Kestrelford Partners Holiday Party. Friday, December 11, 7 PM to 11 PM, at the Brindlewood Room, 210 Elm Avenue. Dinner, a live jazz trio and dancing. Cocktail attire. RSVP by Monday, November 30 at rsvp@example.com. Deep green and gold, elegant serif type, a border of pine branches, no photos of people.

AI prompts for event planners

These Flyer Maker descriptions cover events planners run often. Each one names the event, the date, the time, the full address, the price and the exact call to action, because Flyer Maker fills a missing detail with text you didn't write.

Spring Garden Gala benefiting the Brackenwhim Literacy Project. Saturday, April 17, 6 PM to 10 PM, Thistlecombe Terrace, 800 Lakeview Drive. Tickets $85, includes dinner and a silent auction. Buy tickets at fernbrookgala.example.com by April 9. Soft blush and sage colors, watercolor flowers, elegant layout.
Harvest 5K Fun Run and Family Walk. Saturday, November 14, 8 AM start, Riverside Park, 1 Mill Pond Road. $25 adults, kids under 12 free. Packet pickup Friday, November 13, 4 PM to 7 PM at the park pavilion. Register at harvest5k.example.com. Energetic orange and deep blue, bold type, runners in silhouette.
Directional sign: "Welcome, Summit Attendees. Registration and badges this way" with a large arrow pointing right. Below it: "Main sessions: Ballroom B, second floor. Elevators behind the front desk." No other text, no dates and no logos. Clean white background, navy text, very large lettering readable from across a lobby.

The last one says "No other text" on purpose: a sign has no date or call to action, and without that line Flyer Maker may add a tagline to fill the space. For a sign that runs on a lobby TV, pick the Wide size, the 5:4 option meant for screens.

Run-of-show, vendor emails and timelines

AI Writer turns your notes into a first draft of a run-of-show, a vendor confirmation or a client recap, from up to 2,000 characters typed into "What should we write?". Pick Email as the Type for vendor messages and Anything for a timeline. It writes plain text without headings, so ask for a numbered list when you want one: "Numbered run-of-show for an awards dinner at Marlowgate Hall. Doors 6 PM, dinner service 6:30, welcome remarks 7:15 for 5 minutes, three awards 7:20 to 7:50, dessert and music 8 PM, last call 9:30, venue out by 11. One line per item with the time first."

Keep guest details out of the brief. A timeline doesn't need attendee names, phone numbers, allergies or medical notes. Toybox's privacy policy says your prompts, uploads and results aren't used to train AI models. Compare every time in the draft with the venue contract and the caterer's quote before you send it, since those are the documents a vendor will hold you to.

Custom songs for entrances and first dances

A custom song can carry the couple's names or the company's product in its lyrics, which a stock track can't. Music Generator comes with Pro plans and higher, a run currently costs 95 credits, and each run returns two versions as MP3 files. You give it a "Song title" and "Describe your song", pick "With vocals" or "Instrumental", and either paste your own Lyrics (up to 5,000 characters, with tags like [Verse 1] and [Chorus]) or leave that box empty and the lyrics are written for you.

A description for a grand entrance: "Upbeat pop with bright horns and handclaps, a big chorus, celebratory and warm, for a wedding party entrance." There's no length setting, so for a 30 second entrance, trim the song in any audio editor and fade it out on a chorus.

If the song ends up in a video you post, check the platform rules first. On YouTube, AI-generated music is one of the named examples that need a disclosure, which you set under "AI use" in YouTube Studio during upload.

Recap videos from real event footage

For a recap, start from the photos and clips you already shot. On an iPhone, the Photos app builds memory movies from your library under Collections, then Memories. Apple's steps show how to change the song, edit the title, pick a short, medium or long version, and add or remove photos. That gives you a recap made of what actually happened.

AI video fits a different moment: a few seconds of motion for a teaser. Video Creator, powered by Google Veo 3.1, can begin from one of your images with "Start from a photo" and returns a 4, 6 or 8 second clip in Wide or Vertical. It needs a Pro plan and currently costs 350 credits a clip. Clips come with sound, and there's no separate setting for it, so describe the music or crowd noise you want in the prompt. YouTube asks creators to disclose AI that "alters footage of a real event or place", so a realistic animated version of your event photo may need that label.

AI for wedding planners

Wedding work has more names, more approvals and less room for a typo than most events. Use AI for the first draft of each piece, then get the couple's sign-off on the spelling of both names, the date, the ceremony and reception addresses, and the RSVP deadline. Make that check on the generated file, letter by letter, because the file is what the printer receives.

For invitation cards and photo invitations, the wedding invitation guide covers card design and trimming. The welcome sign uses the same Tall 4K file as the easel poster:

Wedding welcome sign: "Welcome to the wedding of Maya and Theo." Below it: "Saturday, June 12. Ceremony at 4 PM in the garden, reception to follow in the barn." Bottom line: "Unplugged ceremony: please put your phones away." No other text. Ivory background, dusty blue script lettering, a thin eucalyptus border, lots of empty space.

Keep dense lists out of generated images. A seating chart with 120 names is too much small text to trust in one picture, so set it in a document or a template editor, where a wrong name takes one click to fix. Timelines for the couple and vendors belong in AI Writer as plain text you can edit.

What to be careful about

  • Accessibility lines. Put a contact and a request deadline on flyers, invitations and registration pages, and list the aids you already provide.
  • Envelope shape and weight. Square and vertical envelopes pay extra, and an invitation suite with an RSVP card and envelope inside can go past 1 ounce. Weigh one finished invitation before you buy stamps.
  • Names and dates. Proofread every name, date, time and address on the final file, not on your draft.
  • Guest data. Leave names, phone numbers, allergies and medical notes out of AI prompts.
  • AI labels. Disclose AI music and realistic AI video on YouTube when you post.
  • Real people. Under Toybox's Terms of Service, you need a real person's explicit consent to generate images of them, and that includes the couple and the keynote speaker.

Make the event flyer in Flyer Maker

Every event needs a flyer, so it's the first piece to hand off.

  1. Sign in to Flyer Maker. It currently charges 80 credits per flyer, more than the one-time 20 credits a new account gets, so check current plans and top-ups.
  2. Put the event name, the day and date, the time, the full address, the price, who it's for, the accommodation line and the exact call to action into "Describe your flyer".
  3. Pick Portrait under "Size" for social posts, or Tall for print.
  4. In "More options", pick 2K or 4K under "Quality" when the file is going to a printer.
  5. If there's a registration link, switch on "Leave a blank square for your QR code" and add your real code afterward, since Flyer Maker won't draw one.
  6. Read every detail on the result before the client sees it. When one is wrong, type the correction into "Want to change something?" under the flyer (currently 60 credits at 1K), or edit your description and create it again.

Frequently asked questions

What is the best AI for event planners?

No single tool covers the job. The work splits across a design tool for flyers, signs and invitations, a writing tool for timelines and vendor emails, and your existing registration or ticketing platform for guest data. Judge each design or writing tool by how quickly you can fix a wrong date and what one flyer or draft costs, and keep guest lists out of tools that don't need them.

Can AI do the event planning for me?

AI can draft the plan, but it can't run it. A writing tool can turn your notes into a timeline, a vendor checklist or a run-of-show, and a design tool can make the flyer and signs. Booking the venue, confirming vendors, handling payments and knowing the client stay with the planner, and every AI draft needs a check against the contracts.

Which AI tools handle event management?

Event management means registration, ticketing, check-in, seating and attendee messages, and that runs on dedicated event platforms rather than creative AI tools. The tools on this page make what those platforms send out: the flyer on the listing, the invitation, the signs at the door and the thank-you email afterward.

How can AI help with wedding planning?

Use it for the pieces with the most rewrites: save-the-date and invitation drafts, the welcome sign, the day-of timeline for the couple and vendors, and an entrance or first-dance song. Have the couple approve the spelling of both names and the venue address on the generated file itself, letter by letter, even when your description had them right.

Can I post an AI-made wedding or event song online?

Toybox's Terms of Service say you own the rights to the outputs you generate (they list images, text, video and code), subject to the Terms. They don't mention songs specifically, so read them and each platform's rules before you post. On YouTube, AI-generated music is a named example of content that needs the "AI use" disclosure at upload.

How much do these Toybox tools cost?

As of September 2026, a Flyer Maker flyer or invitation currently costs 80 credits at 1K, an AI Writer draft is 5 credits, and Music Generator is 95 credits for two versions of a song on a Pro plan or higher. New accounts get 20 free credits once. Pro currently costs $9.99 a month for 1,000 credits.
